Information we collect from you
We supply forms on our website for contacting us with any questions and also for arranging a booking to stay in our accommodation.
Our general enquiry form asks for name, email, telephone and how can we help. Our booking form asks for arrival date, departure date, number of adults, number of children, name, telephone, email, address and any special requirements.
We automatically collect technical information from your website visit including your IP address, browser, operating system, pages you visit. This does not contain personal information.
What we do with the information
For information you supply to us through the general enquiry form we will contact you purely in relation to your enquiry. We will use this to communicate with you and to answer any questions.
If you complete our booking form, then we contact you with the details you provided to confirm the booking and to take payment. We ask for credit card details over the phone and if successful we then confirm the booking. We may use your contact information to give you updates on your booking.
For technical data which we collect automatically, we use this for internal operations including troubleshooting, data analysis, testing, research, statistical and survey purposes. Again this information is anonymous and does not contain personal information.
How we receive and store this information
We receive website enquires from our website in an email which is handled by our website provider – Way Fresh. More information on how they handle their data can be found on their own website at: https://www.wayfresh.co.uk/privacy-policy/
All booking information taken on our website are stored in our custom, online booking system and we are informed of the booking by email.
We also receive bookings from third party websites such as bookings.com and they notify us of the booking by email.
We use an inhouse management system called RoomMaster and any bookings we receive from our online booking system and any third party systems are transferred here manually by our staff.
For bookings through our website we will call you for payment and will ask for credit card details over the telephone. These are stored within RoomMaster. For bookings from booking.com these are stored on their platform and we transfer them to RoomMaster.
We print out any booking information from RoomMaster that has been collected and store this securely in our office.
If we take a booking over the phone then we complete a printed form including your credit card information which is then transferred into RoomMaster. The printed copy has the credit card information blacked out and is stored in our office.
We store booking information in our online booking system, RoomMaster and the paper based version for 6 months after your booking.
We process your credit card payment using a ICT220 card machine from the HSBC bank.
Technical information is collected, stored and reported on using Google Analytics.
If you are a Kensington Aparthotel customer you may request to see what information we hold relating to you, free of charge. We can also amend or delete this data on your request.
We will never sell or exchange mailing lists of customer information.
However some of our suppliers will have temporary access to your information and we use them to help our service. We only use suppliers who follow GDPR guidelines themselves and are as follows:

Communication, engagement and actions taken through external social media platforms that this website and its owners participate on are custom to the terms and conditions as well as the privacy policies held with each social media platform respectively.

This website nor its owners will ever ask for personal or sensitive information through social media platforms and encourage users wishing to discuss sensitive details to contact them through primary communication channels such as by telephone or email.
